MEETING INFORMATION |
PORAC is an organization that is in existence to serve its local associations. While many decisions and positions are confirmed at the state level of PORAC, the knowledge and direction comes primarily from discussions and interaction with local member associations.
Monthly Chapter meetings serve as the most effective way to have these discussions. While we see many new faces attend the Chapter meetings, it can often be daunting to walk into a meeting for the first time. To ensure that our new attendees have to proper tools and our regular attendees remain current, we have created this page as somewhat of a one-stop resource for meetings. |
The Valley Chapter meets on the second (2nd) Thursday of every month, with a few exceptions. Meetings are generally open to all Chapter members, PORAC members, service providers, vendors, and invited guests. Should a meeting need to be moved for any reason, notification will be made, on this website, as well as through an e-mail blast to all members who have signed up for email alerts.
To provide for a more engaged membership, meetings are hosted by our member associations, at locations they select. Dinner is always free to Valley Chapter members in attendance. To learn more about meeting dates, times, and processes, please continue to read below.

Meeting minutes are available to increase transparency, keep our membership up-to-date, and provide historical perspective of previous Chapter actions. Please click on the "MEETING MINUTES" to review current and former Chapter meeting minutes. The link takes you to a Google Drive folder archive.

How and when the Chapter communicates, holds meetings, and conducts voting is all under the rules established by Valley Chapter bylaws. At times, the voting process can be confusing. Please select "VOTING GUIDE" to get a better understanding of how the Chapter votes.

NO CHAPTER MEETING |
Although we strongly encourage all of our members to regularly attend monthly Chapter meetings, it is imperative that your elected presidents and boards attend. Most voting is conducted through a voice vote. However, any member, at any time, may request a representative or roll-call vote on any issue. During a representative or roll-call vote, only the elected president, on file with PORAC membership, may vote on behalf of their association.
To ensure that all associations have a voice and are able to use it, in accordance with Chapter and PORAC bylaws, proxies and designations may be used. We now offer official proxy and designation forms through this website. Please continue to read below to understand which form is appropriate for your specific situation.

Proxies may be used when an active member association president is unable to attend a particular meeting. A proxy may be issued to any eligible active PORAC member from a different active member association.
Proxies must be made in writing and will only be accepted using the official Chapter proxy form or online submission system. Completed and signed proxies must be submitted to the Chapter president or presiding officer prior to the gavel drop at the intended meeting. However, proxies shall be completed, signed, and dated at least four (4) days prior to the intended meeting. |
A designation may only be issued, by an active member association president, to any eligible active PORAC member from the same active member association. Designations may not be provided to a member outside of your association.
